Word 2007 Keyboard Shortcuts

Using Word 2007 Keyboard Shortcuts will help us to use keyboard efficiently when we are typing. Nothing slows down a typing session like having to constantly move our hand over to the mouse to navigate a document, select an object, or run a command. Not only slows us down, it is also dangerous. There many keyboard shortcut for Word 2007. In this post, I have listed those shortcuts.

Navigating a Document

Ctrl+Right arrow Move to the next word.
Ctrl+Left arrow Move to the previous word.
End Move to the end of the current line.
Home Move to the start of the current line.
Ctrl+Down arrow Move to the start of the next paragraph.
Ctrl+Up arrow Move to the start of the previous paragraph.
Ctrl+Alt+Page Down Move to the end of the window.
Ctrl+Alt+Page Up Move to the start of the window.
Ctrl+End Move to the end of the document.
Ctrl+Home Move to the start of the document.
Ctrl+Alt+Home Display the Browse by Object window.
Ctrl+Page Down Move to the next object (based on your selection in the Browse by Object window).
Ctrl+Page Up Move to the previous object (based on your selection in the Browse by Object window).
Shift+F5 or Ctrl+Alt+Z Cycle through the four most recently edited locations in the current document.
Ctrl+Shift+F5 Open the Bookmark dialog box.


Selecting Text

Shift+navigation key Move the cursor as dictated by the navigation key (see “Navigating a Document,” above) and also extend the current selection to that point.
Ctrl+A Select the entire document.
F8 Expand the selection to the current word, sentence, paragraph, and then document.
Shift+F8 Collapse the selection to the current paragraph, sentence, and then word.
F8, character Expand the selection from the current cursor position to the next instance of character (this is case-sensitive).
Esc Exit Extend mode (which is activated by pressing F8 or Shift+F8).


Editing Text

Ctrl+Backspace Delete from the current cursor position to the beginning of the word.
Ctrl+Delete Delete from the current cursor position to the end of the word.
Shift+Home, Delete Delete from the current cursor position to the beginning of the line.
Shift+End, Delete Delete from the current cursor position to the end of the line.
Ctrl+Shift+Down arrow, Delete Delete from the current cursor position to the end of the paragraph.
Ctrl+Shift+Up arrow, Delete Delete from the current cursor position to the beginning of the paragraph.
Alt+Shift+Down arrow Move the current paragraph down by one paragraph.
Alt+Shift+Up arrow Move the current paragraph up by one paragraph.
F2 Move the selected text (place the cursor in the new position, and then press Enter).
Shift+F2 Copy the selected text (place the cursor in the new position, and then press Enter).
Ctrl+Alt+Y Repeat the most recent Find.
Ctrl+G or F5 Open the Find and Replace dialog box with the Go To tab displayed.
Alt+F3 Open the Create New Building Block dialog box.
Ctrl+F3 Cut the selected text to the Spike.
Ctrl+Shift+F3 Paste the text that has been cut to the Spike.
Ctrl+Alt+M Insert a comment.
Ctrl+Shift+E Toggle Track Changes on and off.
Alt+Shift+C Close the Reviewing Pane.
Alt+Shift+I Mark the selected text as a citation.
Alt+Shift+O Mark the selected text as a table of contents entry.
Alt+Shift+X Mark the selected text as an index entry.
Alt+Ctrl+F Insert a footnote for the selected text.
Alt+Ctrl+D Insert an endnote for the selected text.
Ctrl+Shift+G Open the Word Count dialog box.


Formatting Text

Shift+F1 Display the Reveal Formatting pane.
Shift+F3 Cycle the case of the current word or selection through UPPERCASE, lowercase, and Title Case.
Ctrl+Shift+A Apply uppercase to the selected text.
Ctrl+Shift+D Apply double underline to the selected text.
Ctrl+Shift+H Apply Hidden formatting to the selected text.
Ctrl+Shift+K Apply small caps to the selected text.
Ctrl+Shift+W Underline each word in the selected text.
Ctrl+= Apply subscript to the selected text.
Ctrl++ Apply superscript to the selected text.
Ctrl+Shift+Q Apply the Symbol font to the selected text.
Ctrl+> Apply the next highest font size to the selected text.
Ctrl+] Grow the font size of the selected text by one point.
Ctrl+< Apply the next lowest font size to the selected text.
Ctrl+[ Shrink the font size of the selected text by one point.
Ctrl+D or Ctrl+Shift+F Display the Font dialog box with Font selected.
Ctrl+Shift+P Display the Font dialog box with Size selected.
Ctrl+Shift+N Apply the Normal style to the selected text.
Alt+Ctrl+1 Apply the Heading 1 style to the selected text.
Alt+Ctrl+2 Apply the Heading 2 style to the selected text.
Alt+Ctrl+3 Apply the Heading 3 style to the selected text.
Ctrl+Shift+S Display the Apply Styles task pane.
Ctrl+Alt+Shift+S Display the Styles task pane.
Ctrl+L Apply Align Left to the selected text.
Ctrl+E Apply Center to the selected text.
Ctrl+R Apply Align Right to the selected text.
Ctrl+J Apply Justify to the selected text.
Ctrl+T Increase the hanging indent of the selected text.
Ctrl+Shift+T Decrease the hanging indent of the selected text.
Ctrl+M Increase the indent of the selected text.
Ctrl+Shift+M Decrease the indent of the selected text.
Ctrl+Shift+L Apply bullets to the selected text.
Ctrl+0 Add or remove one line space prior to the current paragraph.
Ctrl+1 Set the paragraph line spacing to 1 for the selected text.
Ctrl+5 Set the paragraph line spacing to 1.5 for the selected text.
Ctrl+2 Set the paragraph line spacing to 2 for the selected text.
Ctrl+* Show/Hide ¶ (formatting symbols).
Ctrl+Space or Ctrl+Shift+Z Clear the character formatting of the selected text.
Ctrl+Q Clear the paragraph formatting of the selected text.


Creating Borders

===+Enter Create a double border.
###+Enter Create a triple border (two thin, one thick).

Inserting Symbols

Shift+Enter Insert a line break.
Ctrl+Enter Insert a page break.
Ctrl+Shift+Enter Insert a column break.
Ctrl+Alt+- (numeric keypad) Insert an em dash (—).
Ctrl+- (numeric keypad) Insert an en dash (–).
Ctrl+- Insert an optional hyphen.
Ctrl+Shift+- Insert a nonbreaking hyphen.
Ctrl+Shift+Spacebar Insert a nonbreaking space.
Ctrl+Alt+C Insert a copyright symbol (©).
Ctrl+Alt+E Insert a euro symbol (€).
Ctrl+Alt+R Insert a registered trademark symbol (®).

Changing the View

Ctrl+Alt+N Switch to Draft view.
Ctrl+Alt+O Switch to Outline view.
Ctrl+Alt+P Switch to Print Layout view.
Ctrl+Alt+I Switch between the current view and Print Preview.
Ctrl+Alt+S Display the split bar for the current document window (use the up and down arrow keys to position the split bar and then press Enter).
Alt+Shift+C Remove the split bar from the current document.


Working in Outline View

Alt+Shift+Left arrow Promote the current paragraph.
Alt+Shift+Right arrow Demote the current paragraph.
Ctrl+Shift+N Demote the current paragraph to body text.
Alt+Shift+Up arrow Move the selected text up.
Alt+Shift+Down arrow Move the selected text down.
Alt+Shift+Plus sign Expand the text under a heading.
Alt+Shift+Minus sign Collapse the text under a heading.
Alt+Shift+A Expand or collapse all text or headings.
/ (numeric keypad) Hide or display character formatting.
Alt+Shift+L Show the first line of body text or all body text.
Alt+Shift+1 Show all headings with the Heading 1 style.
Alt+Shift+n Show all headings up to Heading n.
Ctrl+Tab Insert a tab character.


Working with Fields

Alt+Shift+D Insert a DATE field.
Alt+Shift+P Insert a PAGE field.
Alt+Shift+T Insert a TIME field.
Ctrl+Alt+L Insert a LISTNUM field.
F9 Update the selected field or fields.
Ctrl+F9 Begin a new field.
Shift+F9 Display the code for the selected field.
Alt+F9 Display the codes for all the document’s fields.
